Someone visits your website while your team is busy and asks, “Do you serve my area?” A brokerage, property manager, or home-service company may already have that answer on its website. LucidChat Chat AI can use the business information you provide to answer a routine question like this and help the visitor take the next step.

But the next visitor might ask whether a particular rental allows pets or whether a remodeling team can give a firm quote. Those questions need a current fact or a person who can assess the case, not a confident guess. These examples are fictional. If your chat treats every question as settled, a visitor could make plans around information your team never confirmed. If it sends every question to a generic contact form, it misses the chance to help with information you already have.

The useful middle ground is to decide what your chat can answer directly, what needs a current check, and what should go to your team.

## 1\. Facts your business can state clearly

Start with information that is both useful to a visitor and stated on your website or in the business information you provide. A brokerage's published service area or a home-service company's description of the work it offers may fit here. The chat can give the stated answer and help the visitor take the next step, provided the business keeps that information current.

Write down the source and the person who owns updates. A service-area page is more useful than someone's memory of what the page used to say.

## 2\. Details that can change

A listing-specific policy, office hours, or a current offer may change. For each of these questions, name the source your team checks today and who updates it. Then decide what your chat should do when that source is missing or no longer reliable: ask for the visitor's question and send it to your team, rather than repeating an old answer as if it were current.

In our fictional property-management example, the visitor should not be told that a particular listing allows pets unless the business has supplied a current, verified answer for that listing. A helpful response can say the team will review the listing question, without promising a decision or a response time.

## 3\. Decisions only your staff can make

A firm renovation quote, an individual eligibility decision, or a promise about availability is not a general website fact. Your chat can collect the details your team needs and explain the next step. The decision stays with a person who can assess the case.

For the fictional remodeling visitor, that might mean asking what kind of project they have and how the team can reach them. It does not mean producing a price or promising an opening.

## Give each common question a clear path

Take three questions visitors ask often. For each one, record: **what the visitor wants to know; which of the three groups it belongs to; where your team checks the answer; and what happens when an answer is unavailable.** That gives your team a simple rule for what chat can answer and what needs checking when services, policies, or processes change.

This is where LucidChat Chat AI can help. It uses the website and business information you provide to answer routine questions, can ask the follow-up questions your team selects, and can hand off conversations that need a personal answer or judgment. That gives visitors a useful response or a clear route to your team while keeping case-specific decisions with people. It does not independently verify a changed policy or make a customer-specific decision for you.
